Exclusion Dates

Overview

The exclusion dates feature allows users to configure dates on which certain actions or events within gaiia should not be permitted. For example, you could use this feature to prevent any activations or customers from being delinquent on Christmas Day.

Please Note: Exclusion dates replace the current "Unsafe Dates" feature while also adding additional functionality.

Types of Exclusion Dates

There are currently two different types of exclusion dates gaiia supports:

  1. Delinquency exclusions: This allows for certain dates or days of the week to be excluded from delinquency checks. 
  2. Checkout exclusions: This allows dates to be excluded for activation and appointment scheduling, preventing any availabilities during the selected dates.

Configuring these types of dates is all completed through the same area within gaiia.

Adding Exclusion Dates

To add an exclusion date, follow the steps below:

  1. Click on the "Settings" option from the left-hand menu.
  2. Choose the "Exclusion dates" option from the list of new ones that appear.
  3. Within the "Exclusion dates" area on the right, click the "+ Add exclusion dates" button. A new modal will appear.
  4. Using the modal, fill out the required details.
    1. Name -> The name of the exclusion date you are adding. We recommend using it to help describe the reason for the date being excluded, such as using the name "Christmas Day" when creating an exclusion on that day.
    2. Type -> The type of exclusion you are adding (Delinquency exclusion or Checkout exclusion)
    3. Occurrence setting -> How frequently this exclusion will apply.
      1. Use "specific date" if it will only occur once or the date can change year over year such as Thanksgiving Day, for example.
      2. Use "Recurring" if the exclusion will continue to occur yearly on a specific day, such as Christmas, or if you are looking to exclude specific days of the week (such as Saturday/Sunday) every single week.
    4. Date Setup -> Based on the occurrence setting you specified, you will be prompted to provide the appropriate details.
  5. Click the "Add" button to create the exclusion date.

Managing Existing Exclusion Dates

Any exclusion date can be easily modified to fully delete it or change how it was configured. To do this, click on the options button beside any exclusion date (denoted by the 3 stacked dots). An options menu will appear allowing you to edit or delete the exclusion date.

A Note on Delinquency Exclusions

Delinquency exclusions offer greater flexibility on when your customers will become delinquent. Along with the existing eligibility, this adds an additional check before marking that customer delinquent. When gaiia runs its delinquency checks, each customer is now must pass the following criteria in order to become delinquent:

  1. They must have an outstanding balance equal to or greater than the threshold set.
  2. Must have one or more invoices that have been overdue for the specified number of days.
  3. There are no delinquency exclusion dates configured on the day the delinquency check is occurring.

In the event a customer does not meet all three of these criteria, they will not become delinquent and gaiia will validate them again the day after in the next delinquency check.
