Configuring Account Statuses, Types and Labels

Overview

In this article, we’ll be covering how to configure your Account Types, Statuses, and Labels within your Admin Settings.

Configuring Account Statuses

Within the Account Statuses tab of the Admin Settings, you’ll be able to view the five parent account statuses. These ones cannot be edited or removed.

From here, you can add a new “child” account status to a “Parent” status by pressing the [Add Account Status] button in the top right corner, or by pressing the Ellipsis menu on the right-hand side of the parent status.

Adding a “child” status to a parent status doesn’t change the function of the status but allows for a bit more customizability. An example would be, by adding a “child” status called “Delinquent - Suspended" to the “Parent” status “Suspended,” you will be able to see how many customers are associated with this status and suspended for that reason.

Additionally, within the Account Statuses settings, you’ll also be able to see how many accounts are associated with each Account Status and when they were created.

Configuring Account Types

Within the Account Types tab of the Admin Settings, you’ll be able to view all of the Account Types associated with your instance. By default, gaiia includes two account types: Commercial and Residential. The Residential Account Type is automatically applied to all accounts created unless created manually and specified otherwise.

You can add more Account Types by clicking on [+ Add account type] in the top right corner.

Once you have created the Account Type, you’ll also be able to see how many accounts are associated with it and when it was created.

You’re also able to configure unique billing parameters for your Account Types. To do this, you’ll want to navigate to Admin Settings Billing Settings and click [+ Add Account Type default]. In this menu, you’ll be able to configure the unique billing parameters for that Account Type.

Going forward, when you manually create an account, or when an account is assigned this type by default, the unique billing parameters will be applied to the account.

The billing parameters from an account type only apply to accounts at the time of their creation.

Configuring Account Labels

Within the Account Groups tab of the Admin Settings, you’ll be able to configure your Account Labels. You can have as few or as many Account Labels as you would like. Different from the Account Statuses, there aren’t any Parent or Child relations for these.

To add an Account Label, simply press the [Create Label] button in the top right corner while in the Account Groups section of the Admin Settings.

Once you have configured your Account Label, you’ll be able to see how many accounts that label is associated with, and the date the label was created.
