Overview
Before you can complete any inventory management actions, you’ll have to first have inventory in gaiia.
In this article, we’ll be covering how you can add your inventory into gaiia.
Adding Inventory into gaiia
To add your inventory into gaiia, you’ll need to navigate to the Inventory module and then click + Add Items
in the top right corner. From there, you’ll be taken to a screen that looks like this:
You’ll first need to populate a few areas before adding in your inventory, which will be applied to all units being added in this session:
- Location - This will be the location you’re moving your inventory to. At this time, you cannot add it directly to a zone.
- Manufacturer - Select the Manufacturer you have configured in gaiia for this item.
- Model - Select the respective model that you’ve configured within gaiia under that manufacturer.
- Equipment Condition - Generally added in as “New”, but you can set it to “Used” if this is refurbished. Functionally, this does not impact your inventory management and can be used to help define operational processes. This status changes once the item has been unassigned from a customer (New → Used).
- Status - Similar to Equipment Condition. You can set it as Functional to start and adjust this later on. Functionally, this does not impact your inventory management but can be used to help define operational processes. This status has to be manually changed.
- Purchase Price - This helps track the overall value of your inventory.
Once you have all of your fields configured, you can either enter the data with a CSV, or enter the data manually.
Adding items via CSV
The addition of items is a very straightforward process. When adding items via a CSV, you’ll need to make sure your CSV is formatted correctly, which can, and often does, change on a per-model basis. Reasoning? The CSV format asks for all of the fields underneath that model. When in doubt, however, gaiia allows you to download the CSV template for that model right on that page.
Populate each column within the CSV with the correct information, and once that’s completed, simply drag and drop the CSV into the area. gaiia will scan the file and check all of the Unique-specified fields against the existing items within that model. If there aren’t any duplicates, gaiia will add them into the list.
Once everything looks good, go ahead and hit the Add
button in the top right corner.
Adding items manually
This is a very similar process. Instead of uploading all of the values via a CSV, if you’re only adding a few items, you can either type them or scan them into their respective fields. Press + Add Another Item
to add more rows to add more inventory, and once everything looks good, go ahead and click Add
in the top right corner.
And just like that, you’ve a pro at adding inventory into gaiia.
