Properties: Linking Accounts to Units

Overview

This article explains how to add a new account to a property, link an existing account to a property, or unlink an account from a property in gaiia.

Adding a new account to a property

Use the account creation form to create a new account and associate it with a property.

1. Navigate to Accounts > +Create account.
2. Fill in the account details.

3. Ensure the Address and Unit fields exactly match an existing property address in gaiia.

   If the address or unit does not match exactly, the account will not be linked to the property.

4. At the Subscription details step, review the confirmation of which property the account will be linked to.
   
5. Save the new account.

Linking an existing account to a property

Update the account’s physical address so it matches an existing property in gaiia.

1. Open the existing account’s Details panel.
2. Go to Contacts > Address.
3. Click Edit.

4. Update the Address and Unit fields so they exactly match an existing property address in gaiia.

   The match must be exact for the account to link successfully.

5. Review the confirmation showing which property the account will be linked to. If you do not see a property link, the address does not match exactly.
   
6. Save your changes.

Changing the account unit within the same property

Update the unit number for an account while keeping it linked to the same property.

1. Open the account’s Details panel.
2. Go to Contacts > Address.
3. Click Edit.

4. Update the Unit field so it exactly matches an existing unit in the same property.

   The match must be exact to remain linked to the property.

5. Review the confirmation showing "address is located on the same property". If no confirmation appears, the address does not match exactly.
   
6. Save your changes.

Unlinking an account from a property

Change the account’s address so it no longer matches the property address in gaiia.

1. Open the existing account’s Details panel.
2. Go to Contacts > Address.
3. Click Edit.
4. Update the Address and/or Unit fields so they no longer match the property address.
5. Review the confirmation indicating that the account will be unlinked from the property.
   
6. Save your changes.
