Delete a Workflow

Overview

Workflows can now be deleted directly from the workflow builder. In this article, we'll be covering who can delete workflows, what happens when a workflow is deleted, and how to do it.

 

Understand what deleting a workflow means

Once the workflow is deleted, the following workflow data are no longer visible anywhere in gaiia:

  • The workflow itself, including all versions and definitions
  • The full execution history

This applies everywhere workflows appear in gaiia — in the Workflows section and in the Workflows tab on any object, including Accounts, Inventory, Properties, and others.

Before deleting a workflow, it’s recommended that you disable it first to detect potential production issues. Make sure you no longer need its execution history or configuration. If you are unsure, contact the gaiia team before proceeding.

 

Check your permissions

Not every user can delete workflows. Delete access is part of the global Workflows permission set in gaiia.

By default, users with an Admin or Developer role have this permission. However, your organization may have configured roles differently. If you don't see the delete option, contact your gaiia admin to confirm your permissions.

Admins can enable or disable delete access for individual users in the permissions settings. We recommend reviewing who holds global workflow permissions in your organization before using this feature.

 

Delete a workflow

  1. Navigate to Workflows.
  2. Open the workflow you want to delete.
  3. Select Delete from the workflow menu.
  4. In the confirmation modal, click the red Delete button to confirm.

The workflow is removed immediately from all views across gaiia. If you are already viewing the workflow when it is deleted, it will remain on screen until you refresh the page.
