Overview
The workflow launcher lets you start a workflow directly from a gaiia object — such as an account, inventory item, or work order — without leaving the page you're on. It lists every workflow available for that object, gives you tools to find the right one quickly, and walks you through any required inputs before launching.
In this article, we'll be covering how to find and launch a workflow from the launcher, how to search, sort, and filter the workflow list by label, and how the confirmation step works for workflows that launch immediately.
The launcher experience can vary across teams. If you see a list of workflow tiles instead of a scrollable launcher modal, or if your launcher looks different from the screenshots in this article, your team may have a custom launcher set up. The steps for finding and launching workflows are similar — this article describes the standard experience.
Open the launcher
The launcher is available on any gaiia object that has workflows configured. On a supported object page — such as an account or inventory item — look for the Workflows tab, and then click Launch Workflow to open the launcher.
The launcher opens a modal and displays all workflows available for that object type.
If no workflows are configured for the object type, the launcher will display a message explaining that no workflows are available. Only workflows with a manual trigger configured for the relevant object type will appear.
Find a workflow
If you have several workflows to choose from, you can narrow the list using label filtering, search, or sorting.
Filter by label
If your team has set up workflow labels, a Filter by label button appears in the launcher. Click it to open a label selector and choose one or more labels to narrow the list. Each label in the selector shows the number of matching workflows available for the current object.
Once selected, labels appear as colored tags. Click × on a tag to remove it, or click Add label to add more labels to the filter.
When multiple labels are selected, workflows that have any of the selected labels are shown.
Search
Type in the Search workflows field to filter workflows by name or description. The list updates as you type.
Search applies within any active label filter.
Sort
Click the sort button to change the order of the workflow list. The available options are:
- Sort by recent — shows workflows you've launched most recently first (default)
- Sort by A-Z — alphabetical order, ascending
- Sort by Z-A — alphabetical order, descending
Launch a workflow
Each row in the launcher shows the workflow name, an optional description, and a button on the right. The button label tells you what happens when you click the row:
- Launch — the workflow takes no inputs and will start immediately.
- Next — the workflow requires inputs before it can run. Clicking takes you to a form where you fill them in.
Click anywhere on the workflow row to proceed.
Confirm and launch workflows with no inputs
When you select a workflow that requires no inputs - shown with a Launch button in the Launcher modal - a confirmation step appears before the workflow starts. This gives you a moment to verify you've selected the right workflow.
Click Launch to start the workflow execution.
Skip the confirmation for a specific workflow
If you run a particular workflow frequently and no longer need the confirmation step, you can opt out of it on a per-workflow basis.
In the confirmation dialog, check the box labelled Don't show launch confirmation again before clicking Launch. The next time you select that workflow, it will start immediately without showing the confirmation.
This preference is saved in your browser. Clearing your browser data or switching to a different device will reset it.
Fill in inputs and launch
When you select a workflow that requires inputs (shown with a Next button), the launcher takes you to a form. Fill in the required fields and click Launch to start the workflow. Click Back to return to the workflow list without launching.
Once a workflow is launched, you'll be directed to the object's Workflows tab to monitor execution.
When multiple labels are selected, workflows that have any of the selected labels are shown. Search applies to the workflows currently visible, so label filtering and search work together.
