Overview

Business Accounts provide a dedicated space for managing commercial, government, education, and healthcare customers in gaiia.

They help separate commercial and residential operations, making it easier to manage complex services, circuits, and multi-location customers while giving enterprise clients the level of service they expect.

To start using Business Accounts, please contact your sales representative or account manager.

Permissions

Access to Business Accounts is controlled through the Business accounts permission.

Additional sub-permissions provide more granular access control.

Permission Description
Billing Controls which users can view and modify billing settings on a Business Account.
Contracts Controls who can view or upload contracts to a Business Account.
Edit Controls who can update account information such as contacts, account manager, and communication preferences.
Statuses Controls who can modify the Business Account status.
View Controls visibility of Business Accounts.
Workflows Controls who can run workflows on a Business Account.

Until dedicated permissions are released, users will need the Account > Edit permission to manage notes and the Account > Documents > Edit permission to manage documents. 

Creating a Business Account

Business Accounts must be manually created in gaiia or imported from an external CRM such as HubSpot or Salesforce.

Business Accounts cannot be created through checkout.

  1. Navigate to the Businesses tab and click New Account.
  2. Select the type of Business Account:
    • Single-location: Creates a standalone Business Account.
    • Multi-location: Creates a Parent Account that can contain sub-accounts.
  3. Enter the account name. This name will appear on invoices.
  4. Add the serviceable address.
  5. Add the primary contact. This contact will receive billing communications.
  6. (Optional) Assign an account manager.
  7. Add services to the Business Account.
  8. Review the account details and confirm the Business Account creation.

Only recurring subscription products can be added during account creation. One-time fees can be added later.

Business Account overview page

The Business Account overview page provides quick access to key account information.

Section Description
General information Displays the serviceable address and assigned account manager.
Contracts Displays the five most recent contracts added to the account.
Equipment and devices Displays assigned equipment and circuit information when configured.
Billing Displays the current balance and next recurring charge, including subscriptions paid by Parent Accounts for sub-accounts.
Products (coming soon) Will display subscribed products, recurring monthly charges (MRC), and service details such as Circuit ID.

Filtering the Business Accounts table

The Business Accounts table includes filters to help teams quickly find and review accounts.

Filter Description
Account Relationship

Filter by:

  • Standalone Accounts
  • Parent Accounts
  • Sub-Accounts
Status Filter by custom Business Account statuses.
Account manager Filter accounts by assigned ownership.
Activation Filter by account activation date.
Created at Filter by the date the account was created in gaiia.

Important notes

Business Accounts are designed for managing active commercial customers and services.

gaiia Business Accounts are not intended for prospecting or sales pipeline management. We recommend using a dedicated CRM for sales operations.
