Overview
gaiia's Analytics module (dashboards and reports) runs on a new foundation. It's the default experience for every production organization, and the legacy dashboards and reports are being retired.
In this article, we'll be covering what changed, how to reach the legacy experience while it's still available, and answers to the questions we hear most often during the transition.
Understand what changed
Your data is the same. What changed is the experience around it:
- Dashboards and reports load faster and are interactive: filter, drill, and ask follow-up questions in place.
- You can build your own reports and dashboards, share them with colleagues, download them, and schedule deliveries or alerts.
- Reports are organized by category (Accounting, Accounts, Billing, Checkout, Inventory, Network, Properties, Tickets, Workforce) plus Custom reports for what you build.
The new experience is the default for all production organizations. Sandbox organizations are enabled on request: contact support@gaiia.com with the sandbox name. Sandbox reports show your sandbox's seed data, not production data.
Switch to the legacy experience
When you open Analytics or Reports, you see the new experience. Until the legacy experience is retired, you can still view the legacy dashboards and reports:
- Open Analytics or Reports.
- Turn on the View legacy analytics toggle in the top-right corner.
- Turn the toggle off to return to the new experience.
The toggle applies to both the Analytics and Reports pages, and your choice is remembered in the browser you use.
The legacy experience will be retired on October 19, 2026. After that date, the toggle disappears and only the new experience remains. If a report you rely on is missing from the new experience, contact support@gaiia.com before then.
Find your reports in the new experience
Built-in reports
Every built-in legacy report has an equivalent in the new experience, in the same category. Names are mostly unchanged. Some legacy dashboards were merged: the Accounts overview, Account Issues, and Account Map dashboards are now one Accounts dashboard. The full list is in Built-in dashboards and reports.
Custom reports built for you by gaiia
Reports that gaiia built specifically for your organization are migrated by gaiia. They appear under Reports > Custom reports once migrated. Your account team will confirm when your organization's migration is complete.
Reports and views you saved yourself in the legacy experience
Saved legacy views are not copied automatically. Recreate them in the new experience by opening the equivalent built-in report, adding your fields and filters, then choosing File > Save as... to keep your own copy. See Creating custom reports and dashboards.
Frequently asked questions
Can I still change a report in the legacy experience?
No. Legacy reports are frozen. Request changes against the new experience, and build your own variations there.
A legacy report I used isn't in the new experience. What do I do?
First, search for it on the Reports page with the Search reports field; a few reports were renamed or merged. If you still can't find it, contact support@gaiia.com with the legacy report's name, the category it was in, and what you use it for. gaiia checks whether an equivalent exists and, if not, plans a migration.
The numbers in the new report don't match the legacy one.
Small differences are expected and usually come from how date ranges and time zones are computed. See Why numbers can differ between reports.
Scheduled emails from the legacy experience still arrive. Can I stop them?
Legacy schedules stop when the legacy experience is retired on October 19, 2026. Until then, ask support@gaiia.com to pause a specific schedule; you can't pause them yourself. Set up the replacement in the new experience with Scheduled deliveries and alerts.
Who in my organization can use the new experience?
Anyone with Analytics or Reports permissions in gaiia. What each person can see is controlled by their gaiia permissions for report categories, and by how custom reports are shared with them. See Sharing custom reports and dashboards.
