Overview

This release note leans on control and presentation: who can do what in workflows, how plans and add-ons are laid out in checkout, and how shifts and arrival windows get set up. Publishing a workflow becomes its own role permission, individual workflows can be restricted to specific people, the executions view gains filters and saved views, and checkout picks up a few presentation options you can configure yourself. Here is a preview of what's coming so you can prepare.

User interface

Refreshed alert and callout styling Expected: Coming soon
In-app alerts and callouts move onto the refreshed gaiia design system, with clearer colours and spacing for information, warning, and error messages. The look changes across the platform; the behaviour stays the same.

Refreshed snackbar notifications Expected: Coming soon
The short confirmation messages that appear after an action — saving a record, applying a bulk change — move onto the same refreshed design system, in both gaiia and the client portal.

Analytics

Your custom fields in reports Expected: Releasing August 10th
Custom fields you have defined are now available in Analytics automatically, so you can add them to a report yourself. Previously, getting a custom field into a report meant we had to duplicate the built-in report for you and maintain that copy separately, which left the two versions to drift apart over time.

Timezone switching in reports Expected: Releasing August 10th
Pick a timezone in a report and see every date and time converted to it. gaiia stores timestamps in UTC, which is rarely the timezone your team actually works in.

Billing

Share voice plans between accounts Expected: Releasing August 10th
A voice plan and its included minutes can be shared across several accounts, so a customer with multiple accounts draws from one pool instead of a separate allowance on each.

Billing settings for commercial account types Expected: Releasing August 10th
Billing settings can be configured per account type, so commercial accounts can follow different billing rules than residential ones without setting each account up by hand.

Checkout

Add-ons shown alongside the plans they belong to Expected: Releasing August 10th
Add-ons can now appear on the plan screens they relate to instead of on a single add-ons page late in checkout — mesh extenders next to routers, international calling next to residential phone plans. You choose which checkout page each add-on group belongs on. Read the documentation.

Gradient option for the checkout progress bar Expected: Releasing August 10th
The progress bar at the top of checkout can use a horizontal gradient as well as a solid fill, so it can be matched more closely to your brand.

Change the plan selection from anywhere in checkout Expected: Releasing August 10th
An "Edit plan selection" control lets customers go back to the shop-by-service panel from later steps in checkout, including from the prompt asking them to select at least one service. Fewer restarts when someone changes their mind midway.

Inventory

Assign consumables and non-serialized inventory Expected: Releasing August 10th
Consumables and other non-serialized inventory can be assigned to accounts and network sites, so items tracked by quantity rather than serial number can be accounted for in the same places as everything else.

Network

Incidents can trigger workflows automatically Released
An incident starting or ending can now kick off a workflow on its own — sending notifications, opening tickets, or updating records without anyone doing it by hand.

Cleaner integration panels on equipment Expected: Releasing August 10th
Integration sections stop rendering when there is nothing to show — no more empty panels for integrations that do not apply to a piece of equipment, and legacy integrations are hidden once a newer version exists.

Tickets

Assign tickets to teams Expected: Coming soon
Tickets can be owned by a team rather than only an individual, making it easier to route work to the right group and see what each team is responsible for.

Workflows

Publishing a workflow is now its own permission Expected: Releasing August 10th
User roles gain a Publish permission for workflows, granted separately from Edit. Someone can build and test workflow changes without being able to push them live or roll back to an earlier version. Workflow settings permissions are also broken out, so access to Labels, Secrets, and Variables can be granted one at a time rather than all together.

Edit and execute access on individual workflows Expected: Releasing August 10th
A single workflow can be restricted to specific users or user groups — one list for who can edit it, another for who can execute it — which is useful for protecting billing, provisioning, and other business-critical automations. This sits on top of role permissions and only narrows them; it never grants access a role does not already allow. Read the documentation.

Activity Log on every workflow Expected: Releasing August 10th
Each workflow has an Activity Log tab recording who created it, which versions were published, when access changed, and when it was enabled or disabled.

A focused default view on workflow executions Expected: Releasing August 10th
The Workflow Executions table defaults to the last seven days when no time window is chosen, with presets to widen it. If a search still covers too much data, you get a clear message asking you to narrow the window instead of a page that stalls.

Filter, Display, and saved views on workflow tables Expected: Releasing August 10th
The Workflows and Workflow Executions tables separate filtering from display options, and the Workflows table adds saved views so you can switch between named setups instead of rebuilding them each time.

Search the workflow node library Expected: Coming soon
Find a node by typing instead of browsing the full catalog. Search matches node names, descriptions, and input and output fields, scoped to whichever folder you have open.

Workforce

Permanent technician shifts Released
A shift can be assigned with no end date so it repeats indefinitely, instead of requiring a fixed number of repeat weeks that has to be extended before it runs out. Already enabled for a first group of users and turning on for everyone else.

En route tracking when the Field Service App is offline Expected: Coming soon
Drive time is tracked even where a technician has no signal, and the customer notification goes out once the app is back online. This arrives through an app store update.

Arrival windows by work type Expected: Coming soon
Arrival windows can be set per work type, overriding your global windows for bookings of that type — useful when an installation needs different windows than a service call.
