Overview
The Content Management System (CMS) lets you change the copy your customers see in your online checkout and client portal. You can replace gaiia's default text, create variants for specific order modes, and review every change before it goes live.
In this article, we'll be covering how to access the CMS, how it is organized, how to find a field, and how to customize, publish, and reset copy.
The CMS is currently in beta. Some labels and screens may change as we continue to improve it.
Accessing the CMS
Viewing the CMS requires the Settings > Content management > Content > View permission. Customizing and publishing copy requires the Settings > Content management > Content > Edit permission.
To open the CMS, navigate to Settings and select Content management. The page is titled Content Management System (CMS).
Users with only the view permission can browse and search the CMS, but cannot customize, reset, or publish copy.
How the CMS is organized
The CMS groups content from the top level down:
- Tabs split content by where it appears: Checkout, Client portal, and Global. Each tab shows how many fields it holds.
- Chips split each tab into the areas of that experience, in the order customers move through them.
-
Sections group related fields inside a chip, such as Pricing labels or Order messages. Click a section to expand or collapse it, or click
Expand allorCollapse all. - Fields each hold one piece of copy.
| Tab | What it holds | Chips |
|---|---|---|
| Checkout | Copy shown in your online checkout. | General, Address verification, Plan selection, Plan activation, Customer info, Order summary, Order confirmation, Compliance, Other |
| Client portal | Copy shown in your client portal. | Login, Onboarding, Services, Referral, Support, Announcement bar, Announcement block |
| Global | Copy shared by checkout and the client portal, such as your service names and customer service contact details. | Service names, Contact, Product details links |
Scroll right to view the whole table on smaller screens. A chip only appears if it holds content for your instance.
Field details
Each field is shown as a card:
| Element | Description |
|---|---|
| Field name | What the field is, for example Internet plan title. |
| Status | "Default" when the field uses gaiia's default copy. "Modified" when you have customized it or have a pending change. |
| Description | Where and when the copy appears in checkout or the client portal. |
| Content | The copy customers see. |
Read a field's description before editing it. A single field can appear on several screens.
Content formats
Each field accepts one format. The input shows what it expects.
| Format | What to enter |
|---|---|
| Text | A single line of plain text, such as a title or button label. |
| Multi-line text | Plain text that can span several lines, such as a description. |
| Markdown | Text that supports bold, links, and lists. These fields show "Supports Markdown: bold, links and lists." under the input. |
| URL | A full web address starting with http:// or https://. Images are set with a URL field, such as Image URL. Leave an optional URL field empty to hide what it controls. |
| Lists and grouped fields | Several related values, such as a list of items. Click Add to add an item. Sub-fields marked Required must be filled in. |
Only use a placeholder such as {{email}} when the field's description says it is supported. Anywhere else, customers see the placeholder as plain text.
Active and inactive content
By default, the CMS shows only content your customers can see with your current configuration. Content for features you don't use, such as a service you don't sell or a checkout step you haven't turned on, is moved to inactive content.
To see it, click View inactive. To return, click View active. You can customize inactive content ahead of time. It will appear to customers once the related feature is enabled.
Finding content
Search works best when you know the words your customers see. Filters work best when you want every field for one service, such as all your TV copy. You can use both at once.
Customizing copy
Your edits stay pending in your browser until you publish them. You can change fields across several tabs and chips, then review and publish them all at once.
Customizing copy requires the Settings > Content management > Content > Edit permission.
Pending edits are not saved until you publish. If you leave the page, a Discard changes dialog appears. Click Keep editing to stay on the page and keep your edits.
- Find the field you want to change.
-
Click
Customize. The input is filled in with gaiia's default copy, so you can adjust it rather than start from scratch.
- Enter your copy.
- Repeat for any other fields you want to change.
- Review and publish your changes. See Reviewing and publishing changes.
You can publish up to 100 changes at a time. A warning appears once you reach 80. Publish your changes to reset the count and continue editing.
Adding a variant for an order mode
A variant is a second version of a field's copy that applies only to one order mode. For example, you can show a different confirmation message to customers placing a pre-order. Variants apply to checkout only.
- Customize the field, as described above.
- Click
Add a variant. - Select an Order mode: "Order", "Order request", or "Pre-order".
- Enter the copy for the variant.
Variants are labelled with a Variant tag and their order mode. To remove one, open its Ellipsis menu and click Remove variant.
Reviewing and publishing changes
Customers see nothing new until you publish. The review screen lists every pending change so you can check your copy before it goes live.
There is no preview of checkout or the client portal in the CMS. After publishing, open your checkout or client portal to confirm your copy appears as expected.
-
Click
Review changes. The button becomes available once you have edited at least one field.
-
Check each change. The previous copy is shown struck through, with your new copy below it.
Changes to inactive content are tagged "Inactive".
- To fix a change, click the pencil icon on it to return to that field. To return to the editor, click
Back to editing. - Click
Publish.
A "Content changes saved." message confirms the publish. All changes are published together: if any value is rejected, nothing is saved, and a message asks you to fix it and publish again.
Published copy appears the next time a customer loads or refreshes checkout or the client portal. Customers who are already on a page keep seeing the previous copy until they refresh.
Discarding pending changes
Clicking Cancel immediately discards all pending changes on every tab, with no confirmation. This cannot be undone.
To discard everything you have edited since your last publish, click Cancel next to Review changes.
Resetting a field to gaiia's default
The CMS does not keep a history of published copy. Before resetting a field, copy your custom text somewhere safe if you might want it again.
- Open the field's Ellipsis menu.
-
Click
Reset to default. This also removes all of the field's variants.
- Review and publish your changes.
Clearing a customized field has the same effect as resetting it.
Current limitations
- Images can't be uploaded. Use a URL field to point to an image hosted elsewhere.
- There is no preview, version history, or record of who published a change.
- Logos, colors, and other branding are managed in Settings > Brand, not in the CMS.
