Overview
Temporary overrides are now available to everyone, the Roles page gets a permission filter, and workflow input forms can require a checkbox before launch. Several billing improvements are already live, and gaiia Support moves to a new support portal on November 3rd. We share these notes ahead of time so you and your team can prepare.
gaiia Support
gaiia’s new support portalExpected: Releasing November 3rd
We are moving gaiia Support to a new platform, which brings a new support portal and some changes to how you submit and follow your tickets. For everything you need to know before the switch, check out gaiia’s New Support Portal, What’s Changing.
Analytics
Report lists open fasterExpected: Releasing November 2nd
The Reports landing page, each report category and the Custom reports list now open instantly when you come back to them, then refresh in the background. Reports you create, move, share or delete still show up right away.
Billing
Activate a pending subscription from gaiiaReleased
You can now activate a pending subscription from the account’s Billing tab. In Subscriptions, open the subscription’s actions menu and select Activate. For recurring products, Prorate is checked by default. Activate only shows when the account’s billing cycle is enabled, and only to users who can edit account billing.
See reversed and voided debits and discounts in transaction listsReleased
Reversed and voided debits and discounts now stay in the account and global transaction lists, tagged Reversed or Voided, instead of disappearing. Reports and the Snowflake share don’t count these rows.
Show the overdue invoice’s own due date in the Overdue emailReleased
The Overdue email can now show the due date of the overdue invoice, instead of the due date of the account’s newest invoice. Use the dueDate merge tag to add it.
See who started or ended a grace periodReleased
The grace period started and ended events now include the user who made the change.
See why the grace period button is unavailableReleased
When pending ACH payments cover an account’s unpaid invoices, the Grace period button is disabled, and its tooltip now explains why.
Clearer delinquency and grace period settingsReleased
The minimum balance due setting has clearer wording, and the max grace period setting now shows helper text when the grace period is disabled.
Clear message for Authorize.Net billing address declinesReleased
When Authorize.Net declines a payment because the billing address doesn’t match, customers and agents now see a message saying so.
IPPay declines follow card network retry rulesReleased
IPPay declines for do-not-honor, closed account and blocked first-use cards now follow card network guidance on when to retry and when to notify the customer.
Faster invoices and payments for accounts with many open invoicesReleased
Opening invoices and applying payments is now faster on accounts with many open invoices.
Platform
Filter roles by permissionExpected: Releasing November 2nd
The Roles page now has a Filter button that shows only the roles holding the permissions you pick, so you no longer need to open each role to find out who can do what. Search permissions by their path, for example “workflows view” finds Workflows > View. A role shows when it holds at least one selected permission, and picking a whole section, such as Accounts, shows only the roles granted all of it.
Workflows
Required checkboxes in workflow input formsExpected: Releasing November 2nd
Workflow input forms can now require a checkbox to be checked before launch, such as “Router unplugged” or “Terms accepted,” with a custom message if it’s left unchecked. The requirement can apply only in certain cases, and it works on checkboxes inside list fields too.
Launcher form no longer crashes on large dropdownsExpected: Releasing November 2nd
We fixed a crash in the workflow launcher form when a dropdown’s resolver workflow returned a large set of results.
Custom object nodes in the node libraryExpected: Coming soon
Each of your custom objects will appear in the workflow node library with its own Create, Get, Update and Archive nodes, grouped under an Objects section. Inputs and labels come already scoped to that object.
Launch workflows from the builderExpected: Coming soon
You will be able to launch a workflow directly from the builder, so you can go straight from building and testing to running it. A new Launch permission will control who sees this option.
Workforce
Temporary overrides now available to everyoneExpected: Releasing November 2nd
After several weeks as an alpha feature, temporary overrides are now available to all gaiia users in Workforce > Settings > Temporary Overrides. This release also improves the schedule page. Swim lanes now clearly show when a technician has an override, filters recognize temporary overrides, and the technician list adjusts its length when you apply filters or move to a different date.

Auto-assign counts the drive back to baseExpected: Coming soon
Auto-assign will count the technician’s drive back to their base location when assigning the last work order of the day. You’ll find the new setting in Settings > Appointments.
Work orders tab on address entitiesExpected: Coming soon
Opening an address entity will show a Work orders tab listing all historic work orders, similar to the Accounts tab. New work orders will be tied to an address entity, and one will be created if it doesn’t exist yet.
Link work orders to projectsExpected: Coming soon
Projects will get a new Work orders tab where you can link or create work orders for that project, and the project will show on the work order. Initially, this change will be web-only.
How we use these release notes
These notes represent a projection of upcoming changes over the next few weeks. Timelines may vary, and details may evolve. We may also update this article with additional information once features are fully released. Note that we only share changes that have a visible impact on the platform — many more improvements ship behind the scenes without appearing in the release notes, whether to stability, performance (such as loading times), or security.
