Overview
This is a special two-week edition. Our team spent last week at our annual company offsite, so this week's release was lighter than usual, and we have combined it with next Monday's release in a single article. Already live from this week: folders for custom reports, a Save as view button on filtered tables, reusable custom workflow nodes, and quantities for add-ons and routers in checkout. Scheduling leads the next release, with self-serve rescheduling in the client portal, temporary overrides for technician coverage areas and base locations, and auto-assign that counts the drive back to base. This is a preview of what is coming so you can prepare.
Accounts
Set how long an account verification PIN stays valid:Expected: Releasing October 13th
The account verification PIN used to expire after the same length of time for every organization. That was tight when verification happened over email or a callback and the customer stepped away. The expiry can now be set for your organization. Contact our support team to change it.
Search on custom fields: Expected: Coming soon
Custom field values on accounts, businesses, and addresses will become searchable, so you will be able to find an account by a value such as its Circuit ID.
Move a sub-account to a different parent: Expected: Coming soon
You will soon be able to reassign a sub-account to another parent account directly, without raising a support request.
Analytics
Organize custom reports in folders: Released
Group your custom reports into folders, and share a whole folder once instead of sharing each report individually. Everything inside a folder inherits its access, including reports added later.
Create folders and move reports between them, share a folder as a Viewer, Editor, or Manager, and find reports others have shared with you on the new Shared with me tab.

Billing
Reversed and voided debits and discounts stay visible: Expected: Coming soon
Reversed debits and discounts, and the discounts on a voided invoice, are currently removed from the account's transaction list. They will soon stay in the list with a Reversed or Voided tag, so your team can show a customer what was charged and then taken back. In the client portal, customers will see voided items but not reversed ones.
This is a breaking change for reporting. Reversed and voided debits and discounts will be flagged as reversed or voided instead of being removed. Account balances and invoice totals do not change, and built-in reports will be updated before the switch. However, a custom report, Snowflake query, or API integration that adds up debit or discount amounts without checking whether they were reversed or voided will over-count. If you rely on one for financial figures, contact our support team so we can review it with you before the change.
Checkout
Sell multiple units of add-ons and routers in checkout: Released
Customers can now buy more than one unit of the same add-on or router in checkout, such as three mesh extenders, so you no longer need a separate product for each quantity. Learn how to turn it on.
Communications
Test sends with better visibility: Expected: Releasing October 13th
A test notification is now sent only to the email address of the person sending it, and arrives marked [TEST]. Previously a test could be addressed elsewhere, which made test traffic hard to tell apart from real sends.
One header and footer across all communications: Expected: Coming soon
You will soon be able to set an email header and footer once and have them apply across your communications, instead of maintaining the same blocks in every template.
Custom Objects
Filter custom object records by dropdown and multi-select fields: Expected: Releasing October 13th
You can now filter custom object records by their dropdown and multi-select fields, and export only the filtered rows.

The custom objects list now shows how many active (non-archived) records each object holds.
Inventory
New deleteInventoryItems endpoint: Expected: Releasing October 13th
A new endpoint is now available in the v1 API that supports deleting inventory items.
Network
TP-Link Integration - Device monitoring: Expected: Releasing October 13th
The TP-Link integration now offers self-serve monitoring, showing each device's online status, WAN IP, SSIDs, and Aginet passwords in display extensions.
The TP-Link HTTP request node in Workflows also supports TLS client certificates, and a new textarea form field type keeps sensitive values hidden.
Point an equipment port directly at what it serves: Expected: Releasing October 13th
A port on a network device can now point to an address, unit, property, network site, or account. This covers ports that aren't connected to known equipment and simply serve another kind of assignee, so you no longer need to create placeholder equipment on accounts just to provision them.
A banner also warns you when upstream or downstream equipment connections change and the port may need updating.
Products
Product external IDs in Snowflake: Expected: Releasing October 13th
Product external Ids now flow to Snowflake.
Projects
Start a workflow when a project's status changes: Expected: Coming soon
A new project.status_updated event will carry the previous status, the new status, the project type, and the linked record. A project moving forward will then be able to drive the status of the network site or account it is linked to.
Set a project's status through the API: Expected: Coming soon
Project custom status will join the project fields that can be set and updated through the API.
Change a project's type after it's created: Expected: Coming soon
You will soon be able to set or change the type on an existing project, rather than having to recreate it with the right type.
Platform
Save your current filters as a view: Released
A Save as view button now appears in the filter row whenever your filters or display options differ from the view you started on. It turns the setup you already have on screen into a new view, instead of making you rebuild it in the view editor. Available on every table that supports custom views.

A System theme that follows your device: Expected: Releasing October 13th
Preferences > Themes now has a third option, System, alongside Light and Dark. With System selected, gaiia matches your device's light or dark setting and switches with it if you change it during the day.
System becomes the starting point for anyone who hasn't already chosen Light or Dark. Saved choices stay as they are.
Tickets
Merge tickets from different customers in bulk: Expected: Releasing October 13th
When the tickets you select belong to different customers, bulk merge will offer the same merge-anyway option as a single merge, keeping the parent ticket's contact details instead of blocking the merge.
Workflows
Custom nodes: Released
Any workflow with a manual trigger can now be turned into a reusable node, so you can standardize a process once in the node library and reuse it across workflows.
You can also build a reusable integration node by wrapping an HTTP request and a stored API key into a custom node.

Browse workflow templates from their own section: Expected: Coming soon
Workflows will gain a Templates section where you can browse, search, and filter published templates, preview a template's workflow graph, and create a workflow from it. You will no longer need to go through New Workflow to reach the Template Library.
When you create a workflow from a template, the create form opens with the template's name filled in, and the template is applied once the workflow is created.

Workforce
Temporary overrides for technician coverage areas and base locations: Expected: Releasing October 13th
Override a technician's default coverage area or base location for a specific date range, for example when they are working in a different market, or starting from the office on Thursdays instead of from home. Travel times are then calculated from where the technician actually is.
Temporary overrides are opt-in for now. Contact support@gaiia.com to have them turned on in your sandbox or production environment.

Self-serve rescheduling in the client portal: Expected: Releasing October 13th
Customers can now reschedule their own appointments in the client portal. gaiia shows live availability after their existing appointment, so they no longer need to call in.
Requires auto-assign and the client portal settings in Settings > Appointments. It is off by default.
Auto-assign counts the drive back to base: Expected: Releasing October 13th
Auto-assign now includes the technician's travel time back to their base location when deciding whether a slot is eligible.
You can also choose whether travel or work begins at the start of a shift, so automated scheduling matches how your teams operate. The same choice applies at the end of the shift. Configure both in Settings > Appointments.

We may also update this article with additional information once features are fully released. Note that we only share changes that have a visible impact on the platform — many more improvements ship behind the scenes without appearing in the release notes, whether to stability, performance (such as loading times), or security.
