Overview
In this article, we’ll be reviewing Work Orders, their purpose, and how to create them.
What is a Work Order?
A Work Order is a field task that’s been created for an address, asset or account (linked entity). The job can vary in purpose, but ultimately, it’s a request to have a Technician go to the location and complete work.
The Work Order will display the Work Type, the work location, the linked entity, and any additional details required for the job.
How do I create a Work Order?
One of the ways to create a Work Order is manually. To do this, you’ll want to navigate to either the Work Orders tab within the Workforce module, or the Workforce homepage. From here, you’ll be able to view all of the current Work Orders that have been created.
Alternatively, you’re able to create Work Orders directly from a customers account or a network site by navigating to the Work Order tab within them.
In the top right corner, click on [New work order]
. This will take you to the work order creation fields.
Follow the steps below to create your work order:
- Select the Work Type
- Select the Priority. The default is Medium, but you can also select either Low, High, or Urgent.
- Link an Entity. Select whether it’s an Account or a Network site, and then input the corresponding Account ID, Account Name, or Network site.
- Input the location at which the Work Order is taking place. This field will auto-populate the Physical Address of the Account or Network site. The map is also interactive, and as such, you’ll be able to move the pin around to ensure you’ve selected the correct location.
- Include any additional details required for the Work Order (ie. Buzz Code, ideal entrance, etc..). This information will be visible in the gaiia Field Service app assisting the technician.
Once the work order has been created, you’ll be able to view it in the Work Order page or linked to the associated entity. By opening up your newly created Work Order, you’ll be able to view all of the details associated with it. In the top right corner, you’ll see the [Actions]
button. Clicking that will allow you to Edit, Assign/Unassign a technician, or print out the Work Order.
